Red Five has an exciting opportunity for an experienced Executive Administrator to become part of our team. The Executive Administrator will ensure effective business operations by providing executive level administrative support to the CEO, including complex schedule management and interfacing directly with internal and external parties at all levels on behalf of the CEO. This role involves exercising significant discretion and independent judgment with respect to matters of significance related to Company operations.

This position is based in our McLean, VA headquarters.

Primary Responsibilities:

Schedule Management
• Effectively manage the CEO’s complex schedule and calendar, prioritizing competing requests for meetings, activities, and events that involve the CEO;
• Monitor the CEO’s calendar on an ongoing daily basis to prevent any potential conflicts and manage efficiency;
• Facilitate weekly internal meetings led by the CEO;
• Plan and facilitate quarterly Board of Directors meetings;
• Draft and finalize speeches, talking points, and presentations for the CEO;
• Manage all special events, meetings, presentations, and fundraising activities on behalf of the CEO; and
• Provide the CEO with detailed daily briefing packets.

Travel Management
• Plan and execute the CEO’s substantial travel arrangements;
• Prepare expense reports and ensure compliance with Company financial policies; and
• Travel with the CEO as necessary, ensuring the execution of travel arrangements and event/meeting setup and logistics.

Correspondence Management
• Review and process all correspondence (mail, email, voicemail) on behalf of the CEO, serving as the main point of contact for all incoming and outgoing correspondence;
• Review the CEO’s incoming emails on a regular basis throughout the day, providing immediate notification of any emergency/high priority emails;
• Draft responses on behalf of the CEO to emails pertaining to a wide variety of matters; and
• Track requests sent by the CEO to other parties to ensure appropriate and timely resolution, acting as a facilitator as needed.

Additional Executive Administration Support
• Control the CEO’s records management system;
• Produce reports, memos, research briefs, charts, and other materials in support of the CEO’s projects;
• Act as the primary liaison between the CEO and all other external and internal parties;
• Manage the CEO’s database of external contacts;
• Act as a backup to the Office Manager with respect to planning and executing Company events;
• Act as the project manager for any special projects assigned by the CEO;
• Perform a quality control review of all documents and materials distributed by or on behalf of the CEO; and
• Perform other duties as necessary to ensure effective business operations.

Requirements Include:
• Bachelor’s Degree and at least 5 years of executive administration experience, OR
• High School Diploma and at least 10 years of executive administration experience;
• Advanced experience with Microsoft Office (Word, Excel, and PowerPoint);
• Experience with Google Docs, Gmail, and Google Drive;
• Experience using project management software preferred;
• Ability to handle confidential matters with appropriate sensitivity, discretion, and professionalism;
• Proven ability to multi-task and prioritize in a fast-paced and rapidly changing environment;
• Outstanding written and oral communication skills;
• Exceptional attention to detail and strong proofreading skills;
• Proven record of providing exceptional customer service to internal and external parties;
• Demonstrated poise, tact, and diplomacy;
• Demonstrated experience mentoring and training office support staff;
• Excellent critical thinking, judgment, and problem-solving skills;
• Ability to work independently in a decentralized environment, without the reliance of direct authority;
• Proven maturity, reliability, composure, and stability under pressure;
• Strong organizational and planning skills; and
• Proficiency in English.
